When you make an inquiry on our website, we collect the data that you submit in the form, as listed below: Name, Email, Telephone Number, Country of Residence. We collect these information for the sole purpose of communicating with you in relation to your request. We will communicate with you either by email or by telephone.
When you make a reservation for one of our villas, we require the following information, which we collect and store in order to prepare the necessary paperwork for your rental, as well as to optimally serve your reservation: Name, Address, Country of Residence, Telephone Number, Email, Passport Number, and VAT Number (For residents of Greece only).
Use and sharing of your information
W Villas Halkidiki is the one and only receiver of the information that you voluntarily give on this site. We will not sell, rent or share this information to anyone and we will not share your information with any third party outside of our company. Your information may be shared only with the Greek Tax Authorities, where lease agreements are submitted, in accordance with the Greek Law.
You can contact us to obtain a file of your personal data that you have provided to us, as well as to ask us to correct your data, or erase your information. Email: firstname.lastname@example.org.
A Reservation is initially made between the Tenant-Traveler and W Villas Halkidiki representing the property owner for a specific property-Villa. Each Reservation made for one of our Properties- through any channel and by any possible way- is subject to the following conditions and the conditions included in the Rental Agreement, which the Tenant signs upon Arrival. You can find the provisions of the Rental Agreement by clicking on the button at the bottom of this page. The Tenant may be informed about these Terms and Conditions by visiting our website anytime, before, during or after completing his Reservation.
1. DEPOSIT FOR YOUR RESERVATION
A deposit of 30% or 50% -depending on the valid cancellation policy and depending on the time of the Reservation- of the total rental cost outlined in the Rental Offer sent to you via e-mail or communicated to you by a pro-forma invoice sent must be paid by you in order to secure the rental of your Villa. No obligation from the property owner will exist until we have received this amount in full. Should you later cancel, cancellation charges are applicable in accordance with the Cancellation Policy found below and communicated to you via e-mail.
2. PAYMENT OF THE BALANCE
The payment of the balance must be paid at least 14 days before your arrival. If the balance is not received by us by the due date, we shall be entitled to cancel the booking without prejudice to our claim for cancellation charges and to retain the deposit. For bookings made within 14 days of arrival date, the client will be required to pay the full cost (100%) of your holiday rental at the time of booking. Any outstanding balance shall be paid upon Arrival to the property.
3. CANCELLATION BY YOU
It is agreed that should you wish to cancel all or any part of your booking, or that the booking is cancelled by us due to non-payment, then we shall be entitled to the following percentage of the holiday cost: The Tenant agrees with the following Cancellation Policy: More

4. CANCELLATION OR ALTERATIONS BY US
Although it is unlikely that we will have to make any changes to confirmed arrangements, it could occasionally happen, and we will advise you at the earliest possible date. If for any reason beyond our control we are unable to provide you with the villa you have booked, we reserve the right to transfer you to a similar or better villa. However, if this is not possible or you do not wish to be transferred, we will cancel the booking and refund in full the amount paid to us for the property, but we will not be liable for any other cancellation charges for travel arrangements for you and/or your party.
5. MINIMUM LETTING PERIOD
For weekly rates, stay is 7 nights during high & peak season. Exceptions may be allowed depending on availability. Surcharges may apply.
6. NUMBER OF GUESTS
Only the maximum number of guests outlined in the Villa description or communicated to you may use and reside at the property anytime. Should we find more persons than those stated, we will be entitled to ask you and your party to vacate the property and cancel the booking overall, with 100% penalty of the holiday rental costs paid to us or Charge an Extra Guest Fee, which is clearly stated in the Rental Agreement.
8. ARRIVAL AND DEPARTURE TIME
Check-in time is from 16:00 to 22:00. Check-out time is before 10:00. In case of flight delays or inconvenience, while traveling, please contact us at the earliest. We cannot guarantee early check-ins or late check-outs unless confirmed by us well in advance. For a later check out time an extra fee is applied.
9. HOLIDAY RENTAL CONTRACT
In order to comply with local legislation, you will be required to sign a “Rental Agreement” directly with the property owner at the time of check-in. The very same booking conditions that are available on our website now apply.
The property descriptions displayed on our website are accurate and made in good faith. We do not accept any responsibility for the shortage of water supply, gas or electricity, due to a technical problem beyond our control. Complaints lodged only at the end of the holiday period will not be taken into consideration.
12. BEHAVIOR & DAMAGES TO THE PROPERTY
By making a Reservation with us you become also responsible for the correct and decent behavior of your party. You are responsible for any loss or damage that you or members of your party may cause to the property or its contents. You are required to report any damages to Landlord personnel and to bear the cost of repair or replacement. Should you or any member of your party behave with no respect towards the property, its contents, the personnel/associates or the other Tenants, the property owner or key-holder has the right to ask all guests to vacate the property immediately, with 100% penalty of the holiday rental costs paid to them. Upon Arrival, the Tenant shall give a refundable damage deposit of 200 Euro. The Refundable Damage Deposit, can be paid in Cash or via Bank Transfer, and it is refunded back to the Tenant on his Check-out Date, after inspection of the Villa (Cash Deposits upon Checkout and Bank Deposits within 7 working days from the Check-out Date).
This deposit will be refunded to the Tenant on his checkout day after the inspection of the Villa and if no damage has occurred. In the event of a damage, the cost of the replacement will be deducted from the damage deposit. In case, and only if the Tenant declares so, we can accept a valid Credit Card as a guarantee for the damages. In the case that the Tenant wants to give his credit card as a Damage Deposit Guarantee, he specifically agrees and he is solely responsible to provide his credit card information correctly and he declares that he specifically consents to share this information with the Landlord. Please note that any card information are kept strictly confidential and are automatically and immediately destroyed and erased on the Checkout Day, after inspection of the Villa. In the event that a damage has occurred but the Credit Card is invalid or has no debit, the Tenant agrees to pay for the damage directly to the Landlord.
13. ENTERTAINING AT THE PROPERTY
Entertainment parties and functions involving a larger amount of invitees exceeding the maximum number of guests outlined are strictly prohibited unless fully approved by the Landlord in advance. Should you make unauthorized use of the property in such a way, the Landlord has the right to ask all guests to vacate the property immediately, with 100% penalty of the holiday rental costs paid. Parties with loud music are not allowed.
14. GUEST INJURY DISCLAIMER
The Landlord can’t be held responsible for any accident or injuries occurred to all guests during their stay at the property under any circumstances. The Tenant is solely responsible to insure himself, his family, travel companions and their belongings adequately. In case of illness or emergency, our associate doctor can visit the guest at the property or at his clinic.
15. CHILDREN POLICIES
Children are generally accepted in our property. For your convenience, if children are traveling with you inform us about their exact age, before finalizing your booking and if you will be needing a Baby Cot or a High Chair.
Pets are generally accepted in our villas. If you want to bring one with you, please inform us. Pets are not allowed to be in the guests beds or sofas as well as in the swimming pool.
17. WATER AND ELECTRICITY
Due to high season there are severe problems of drought in Chalkidiki. Therefore, water is a commodity to be used sparingly during the summer months. If you experience a shortage of water, we will do everything we can in time to reestablish its supply. Electricity can also be disrupted, normally for a short period of time. However, we cannot be held responsible for any inconvenience created by events beyond our control.
18. INTERNET SERVICE
We kindly remind you that Internet service is provided at our property, but we cannot guarantee that we will be able to re-establish the connection in case of a technical problem beyond our control, such as a faulty line from the local telephone company. So we strongly recommend to travel with at least one mobile phone with open roaming service. We kindly remind you that Chalkidiki is a Village, so optical fibers are not available and the Internet service might be different from what you have experienced in the city.
Indoor smoking is strictly prohibited in all our villas. Should you or a member of your party do not comply with this rule, or should any upholstery be found damaged by smoking anywhere, we reserve the right to charge a minimum fee of EUR500 for cleaning the environment and/or replace its contents.
Valuables left at the property are at the clients’ risks. Neither W Villas Halkidiki/ the Landlord. nor the property staff can be held responsible for their loss, misplacement or robbery at any time.
21. The Landlord will not be held liable for Force Majeure. Please read more under the Disclaimer Clause on the Rental Agreement.
W VILLAS HALKIDIKI HAS NO LEGAL RESPONSIBILITY OR ANY RESPONSIBILITY OR LIABILITY OF ANY KIND WHATSOEVER FOR ANY OF ACT OR FALSE INFORMATION, DESCRIPTION OR PROMISE PROVIDED BY ANY EXTERNAL PARTNER, ASSOCIATE, TRAVEL AGENT, TRAVEL OFFICE, TOUR OPERATOR OR ANYBODY TRYING TO PROMOTE OR SELL THE VILLAS REGARDLESS OF A SUCCESSFUL RESERVATION OR NOT. IT IS THE RESPONSIBILITY OF THE TENANT OR OF ANY INDIVIDUAL TO GET KNOWLEDGE OF THE CORRECT INFORMATION PROVIDED ONLINE ON THIS WEBSITE AND ON THE RENTAL AGREEMENT AND TERMS OF SERVICE, TO WHICH EVERYBODY HAS FREE ACCESS, ANYTIME.
